Terms & Conditions

Your contract is with Velovation – the climb company (hereafter known as ‘we’ or ‘Velovation’).  The Velovation Ltd office is at Brambles, Chapel Lane, Purleigh, Chelmsford.  Please contact us if you have any questions regarding the terms and conditions, however we do retain the right to change or amend them at any time.

Items Included

All details of what is included in your holiday package are shown in your chosen itinerary.

Items Not Included

We do not provide insurance as part of our service.  We advise that you find a policy that includes cover, without limitation, for possessions and sporting equipment, specifically bicycles. Any claims concerning matters for which you are insured must be directed to your insurers.

Flights, meals and accommodation not specified in the itinerary do not form part of the package.  Other items such as personal excursions, hotel phone calls and laundry costs are not included.

Any other additional expenses incurred during the tour, including but not limited to unforeseen travel or medical expenses are not incorporated into our packages.

For those people travelling from outside the EU, if required, must provide their own visas.  Valid passports are needed to travel into France.

Price and payment of balances due

Whilst we reserve the right to vary our advertised prices at any time, once the contract is made between us and the deposit paid, the price shown on your booking confirmation invoice is the fixed price of your holiday. After the contract is made between us we have the right to increase the price of the holiday where the cost to us of providing you with the holiday package increases such as but not limited to.

Any change in VAT or any other duties, surcharges or fees levied on your holiday package;

As a result of a rise in transportation costs; or

As a result of exchange rate fluctuations. Any such fluctuations will be calculated in comparison to a base rate of £1 = US$1.21, £1 = Euro 1.10, obtained at 12 October 2016.

In the event that we reduce our prices subsequent to your booking you will not be entitled to any refund.

The balance of the holiday price must be received by us not less than 12 weeks prior to the date of arrival. If payment is not received in full and on time, we reserve the right to treat your booking as cancelled by you. In this case our standard cancellation charges will apply.

Cancellations

If you, or any member of your party, need to cancel any part of the booking once it has been confirmed, you must inform us in writing immediately by e mailing info@velovation.co.uk. Cancellation charges will then become payable as set out below. The charges will be based from the date we receive the written notice to the date of travel.

  • 56 days or more: 100% of the deposit paid
  • 42-56 days: 30% of total holiday booking but not less than the deposit paid
  • 28-41 days: 50% of total holiday booking but not less than the deposit paid
  • 27 days or less: 100% of total holiday booking

If no written notice of cancellation is received and you or a member of your party does not travel the cancellation will be deemed to have been received on the day of departure. We reserve the right to resell any part of a cancelled holiday and this shall in no way restrict or limit our right to levy and receive cancellation charges. In the case of a part cancellation of an exclusive use booking no refund will be given by us.

In exceptional circumstances we reserve the right to cancel or amend your holiday for the dates you have booked. We will either offer you an alternative holiday or if this cannot be arranged we will refund you in full all monies paid to us. If the cost is more then you will be expected to pay the additional sum.  Likewise we will refund the difference if the cost of your chosen tour is less than the cancelled tour.

We will not be responsible for refunds of any costs incurred with parties other than ourselves. Exceptional circumstances will be deemed to include occasions where there are three or less guests booked on a tour within 30 days of its commencement date.

Where circumstances beyond our reasonable control arise, for example, war, civil or political unrest, terrorism, poor weather conditions or technical problems arise with transport.

Your Booking

No booking will be made by anyone under the age of 18 years of age.

Your booking must be made either on line through our website or with a booking form via email or post which you will fill in and return.  Every person in the group that you are booking for will be named on the form and therefore accepting the terms and conditions laid out on this page and giving us directive to perform services on your behalf. Your booking is accepted on the understanding that you accept the risks and hazards of such a holiday, including the dangers inherent in cycling either on the road or off the road and any risks that result from (amongst other things), adverse weather conditions, the poor condition of the highways, terrorism and disease; and the potential for (amongst other things) delays, alterations, loss or damage to property, inconvenience and discomfort. A contract will exist when you receive a confirmation email with invoice number.

The prices shown are per person and based on double occupancy of hotel rooms.  There will be a single room supplementary charge, if desired please specify at time of booking.

There is a natural need to be flexible on a holiday of this kind. The day to day agenda and ultimate aim of the holiday is taken as an objective and not as a contractual obligation. It is a fundamental condition of booking that you accept this flexibility, and acknowledge that delays and alterations and their subsequent results, such as inconvenience, discomfort, or disappointment, are possible.

Behaviour

You are expected to abide by the rules of the designated leader who represents Velovation the climb company and whose decision is final.  You are also expected to keep noise to a minimum at and around the accommodations.  You will be associated with Velovation the climb company and if we feel that your behaviour is inappropriate, we reserve the right to ask you to leave, in such a case no refund will be given.

Liability

Velovation – the climb company are not liable for personal injury, death, damage to property or other loss whether arising from accident, cancellations, delays or any other matter beyond our control.  Guests should insure against all such possibilities.

Medical and Special Requirements

It is your responsibility to ensure that you are sufficiently fit and healthy to complete your chosen tour. If you are affected by any condition, medical or otherwise, that may affect your or other people’s enjoyment of the holiday, you must advise us before booking. If you do not do so, we may cancel your holiday at any time. We reserve the right to require you to produce a doctor’s certificate of fitness to participate in your chosen holiday

In order that we may consider the possibility of making reasonable adjustments, it is important that we are fully informed of any special requirements or conditions before any booking is concluded. Please note that we rely on the information you provide to help us anticipate and satisfy your needs. We therefore require you to give us a full and frank description of your needs. You must update us with any change in your circumstances prior to and during your stay. Our team can only provide basic first aid.

The support rider that Velovation provides is not a guide but is made available to support you and encourage you but will not take responsibility for decisions regarding riding conditions or injuries.

Any information on this website, the itineraries or on any other promotional material is correct to the best of our knowledge.  Changes may occur before or during the tour, we will endeavour to inform you of any changes as soon as possible.

Financial Failure Insurance

In accordance with “The Package Travel, Package Tours Regulations 1992″ all passengers booking with Velovation Ltd are fully insured for the initial deposit and subsequently the balance of all monies paid to us, including repatriation if required, arising from the cancellation or curtailment of your travel arrangements due to the insolvency of Velovation Ltd.

A certificate detailing this cover will be given to each and every passenger as evidence of cover.  Please ensure that you have been given the appropriate certificate at the time of booking.
