TERMS AND CONDITIONS

Your contract is with Velovation-the climb company (hereafter known as ‘we’ or ‘Velovation’).  The Velovation Ltd office is at Litchfield Farm, Enstone, Oxon, OX7 4HH.  Please contact us if you have any questions regarding the terms and conditions, however we do retain the right to change or amend them at any time.

ITEMS INCLUDED

All details of what is included in your holiday package are shown in your chosen itinerary.

ITEMS NOT INCLUDED

We do not provide insurance as part of our service.  We advise that you find a policy that includes cover, without limitation, for possessions and sporting equipment, specifically bicycles. Any claims concerning matters for which you are insured must be directed to your insurers.

Flights, meals and accommodation not specified in the itinerary do not form part of the package.  Other items such as personal excursions, hotel phone calls and laundry costs are not included.

Any other additional expenses incurred during the tour, including but not limited to unforeseen travel or medical expenses are not incorporated into our packages.

For those people travelling from outside the EU, if required, must provide their own visas.  Valid passports are needed to travel into France.

THE COST OF YOUR HOLIDAY

We reserve the right to alter the prices of the tours shown on our website or any other promotional material at any time.  You will be advised of the price of your chosen holiday when you make an enquiry.  This price will remain fixed for 10 days from the date given where after it may be subject to change.  Once a deposit has been paid on your chosen tour then the price will remain fixed.

The deposit to be paid when you book your tour will be 30% of the tour price per person.  The final balance must be paid at least 8 weeks before departure.  Where a tour is booked within 8 weeks of the departure then the full payment must be made on booking.  If the balance is not paid within the stated time-frame then we reserve the right to cancel your place on the tour and everything included in the package.  If the balance is not paid in time we will retain your deposit.

CANCELLATIONS

In the unfortunate situation that you have to cancel your tour with us the following cancellation charges apply.

In all circumstances your deposit will be retained.  If you have made full payment and you cancel within the 8 weeks prior to departure then additional penalties may apply, up to 100% of tour costs.  No refunds are available once the tour commences.

In the rare event that we are forced due to extraordinary reasons to cancel a tour, you will be entitled to book any other available tour shown on our website.  If the cost is more then you will be expected to pay the additional sum.  Likewise we will refund the difference if the cost of your chosen tour is less than the cancelled tour.  In the case of us having to cancel a tour, we are not liable for travel or any other expenses outside of those included in the itinerary.  A full refund of money already paid will be made to you.

YOUR BOOKING

No booking will be made by anyone under the age of 18 years of age.

Following initial contact with us we will send you a booking form via email or post which you will fill in and return.  Every person in the group that you are booking for will be named on the form and therefore accepting the terms and conditions laid out on this page and giving us directive to perform services on your behalf. Your booking is accepted on the understanding that you accept the risks and hazards of such a holiday, including the dangers inherent in cycling either on the road or off the road and any risks that result from (amongst other things), adverse weather conditions, the poor condition of the highways, terrorism and disease; and the potential for (amongst other things) delays, alterations, loss or damage to property, inconvenience and discomfort. A contract will exist when you receive a confirmation email with invoice number.

The prices shown are per person and based on double occupancy of hotel rooms.  There will be a single room supplementary charge, if desired please specify at time of booking.

Our groups have a maximum and minimum size and for this reason please contact us about group availibility.  Wherever possible we will try to create a tour that suits your needs.

There is a natural need to be flexible on a holiday of this kind. The day to day agenda and ultimate aim of the holiday is taken as an objective and not as a contractual obligation. It is a fundamental condition of booking that you accept this flexibility, and acknowledge that delays and alterations and their subsequent results, such as inconvenience, discomfort, or disappointment, are possible.

BEHAVIOUR

You are expected to abide by the rules of the designated leader who represents Velovation the climb company and whose decision is final.  You are also expected to keep noise to a minimum at and around the accommodations.  You will be associated with Velovation the climb company and if we feel that your behaviour is inappropriate, we reserve the right to ask you to leave, in such a case no refund will be given.

LIABILITY

Velovation- the climb company are not liable for personal injury, death, damage to property or other loss whether arising from accident, cancellations, delays or any other matter beyond our control.  Guests should insure against all such possibilities.

MEDICAL AND SPECIAL REQUIREMENTS

It is your responsibility to ensure that you are sufficiently fit and healthy to complete your chosen tour. If you are affected by any condition, medical or otherwise, that may affect your or other people’s enjoyment of the holiday, you must advise us before booking. If you do not do so, we may cancel your holiday at any time.

In order that we may consider the possibility of making reasonable adjustments, it is important that we are fully informed of any special requirements or conditions before any booking is concluded. Please note that we rely on the information you provide to help us anticipate and satisfy your needs. We therefore require you to give us a full and frank description of your needs. You must update us with any change in your circumstances prior to and during your stay. Our team can only provide basic first aid.

We would like to offer advice if you have questions but please check details yourself, it is only advice.

The support rider that Velovation provides is not a guide but is made available to support you and encourage you but will not take responsibility for decisions regarding riding conditions or injuries. 

Any information on this website, the itineraries or on any other promotional material is correct to the best of our knowledge.  Changes may occur before or during the tour, we will endeavour to inform you of any changes as soon as possible.

Financial Failure Insurance

In accordance with “The Package Travel, Package Tours Regulations 1992″ all passengers booking with Velovation Ltd are fully insured for the initial deposit and subsequently the balance of all monies paid to us, including repatriation if required, arising from the cancellation or curtailment of your travel arrangements due to the insolvency of Velovation Ltd.

A certificate detailing this cover will be given to each and every passenger as evidence of cover.  Please ensure that you have been given the appropriate certificate at the time of booking.
